This topic covers the import features specific to the importing of new contacts to Amicus.
● First Name and/or Last Name and/or Company Name must be mapped. A contact without at least one of these fields cannot be imported.
● Optionally,
contacts can be mapped by Import Contact ID. Associating a contact by ID ensures
that duplicate (or similar) names do not impact the ability to import
a contact into the system.
Tip: When Import Contact ID is selected the imported values in this field can then be used as part of the Contact-File Associations import. The IDs imported are used exclusively by the Contact-File Associations Import capability if desired and are not visible on a contact. |
● Existing contacts
are not overwritten. Only new contacts are added.
However, if an existing matching contact is found, and your template specifies
Client ID and/or custom fields, the contact will be updated with imported
values for those fields where existing values are blank. Existing values
are not overwritten.
● If a contact has only a company name, with neither first nor last names, mark the contact as a corporation.
● If a Company Name field is mapped but a contact lacks a company name, mark the contact as an individual.
● Only the Client ID portion of a Client Matter ID is imported.
● If a contact has a Client ID that's not unique in Amicus, the contact is not imported.
● The import function will not create duplicate contacts within Amicus.
● Corporation or individual – If a contact has both company and first and/or last names, but lacks Is Corporation data, choose whether to mark the contact as a corporation or individual. That choice is also used if a contact has only a first or last name (not both), but lacks Is Corporation data and a Company Name field is not mapped.
● Corporation – If a contact has an Is Corporation field, specify what text in the data file indicates yes—e.g. "True".
● Date custom fields – If a contact has date custom fields, specify how dates are formatted in the data file (e.g. "MM/DD/YYYY").
● Checkbox custom fields – If a contact has checkbox custom fields, specify what text in the data file indicates yes (e.g. "True").
● Duplicates – Import will not create duplicate contacts within Amicus. Choose what set of fields must all match to count as a duplicate. First Name, Last Name, and Company Name are always compared. Optionally add Middle Name, Phone, and/or Email to the set of fields compared.
● Sharing – Imported contacts are shared with the Amicus administrator. Choose whether to also share them with all firm members, rather than just sharing them later once associated with files (to the firm members on those files).
